Key Responsibilities
Office Administration
Oversee daily office operations to maintain a clean, efficient, and functional workspace
Manage office supplies, equipment, furniture, and facility-related services
Coordinate with external service providers (e.g., cleaning, maintenance)
Provide administrative support: document prep, scheduling, internal communication
Answer and route phone calls; handle mail, deliveries, and shipments
Support Line Manager or Company Director with additional tasks
Travel Coordination
Plan and arrange business travel for staff (flights, hotels, transport, insurance)
Ensure bookings comply with company policies and budgets
Maintain communication with employees throughout travel
Track expenses and support reimbursement processes
Vehicle Coordination
Oversee company vehicles, schedule servicing, and manage registration/insurance
Keep logs of mileage, fuel usage, and vehicle activities
Support employee use of vehicles for business or project purposes
Requirements
Proven experience in office administration
Excellent multitasking and organizational skills
Strong communication and interpersonal abilities
Proficiency in Microsoft Office and travel/scheduling tools
High attention to detail and confidentiality
Valid driver’s license
Fluent in English (spoken and written)
